Events

The Stanford Event feature is used to display upcoming events on your website. You can display a few events in a block or see them all on a full page view.

Site owners can add, edit, and delete any event. Editors can only add and edit events. Events can also be imported from events.stanford.edu.  Contact Stanford Web Services to set up the Stanford Events Importer.

Creating an event

Before starting, be sure to know the values for each of the fields listed in Stanford event field column.

  1. From the Site Actions Menu, click Add Event. You will get a Create Stanford Event node edit form page.
  2. In the Title field, add the title of your event.
  3. In the Date and Time field, click into the field and choose the event start and end date from the calendar.  Enter in event start and end times.
  4. In the Location field, enter the event location.
  5. In the Admission field, enter the event admission information (e.g., Free and open to the public).
  6. In the Image field, click Choose File to select your image to upload.  Click Open, then click Upload. Best practice tip: Be sure to add Alternative text for the image.
  7. In the Body field, enter the event description.
  8. In the Image Insert field, click Choose File to select your image to upload.  Click Open, then click Upload. Best practice tip: Be sure to add Alternative text for the image.
  9. In the Map Link field, enter the URL for the online map (if available).
  10. In the Event Sponsor field, enter the event sponsor (e.g., Stanford Web Services).
  11. In the Contact Email field, enter the email address of the contact person for the event (e.g., email-address@stanford.edu).
  12. In the Contact Phone field, enter the phone number of the contact person for the event (e.g., 650-725-1234).
  13. In the More Information section, add a link Title and URL to location(s) that is external to your site (e.g. Stanford University, http://www.stanford.edu).
  14. In the Event Type field, select the appropriate event type(s) for the event.
  15. In the Event Series field, select the appropriate event series for the event if there is one.
  16. Click Save.

Updating an event

You have several avenues for finding and editing an event.  If you find the event you may see an Edit link which will direct you to the node edit page for that event.  

Searching for an event

  1. From the Site Actions menu, select Manage Content.
  2. In the Manage Content by Type section on the righthand side of the page, click the Manage Events link.
  3. From this page, you can find all the Stanford Events. You can sort many of the columns by clicking on the header title, or search using the filters.  

Editing an event

  1. From the Manage Events page, click edit for the event you want to change.
  2. Update/enter values as described under Creating an event.

Bulk editing an event

  1. From the Manage Events page, click the checkboxes to select mulitple events you want to change.
  2. Click the Choose an operation arrow to choose an operation (e.g., Delete, Modify, Publish, Unpublish).
  3. Update the event fields and confirm the changes.

Unpublishing/deleting an event

You can either unpublish an event to keep it on the site (just not viewable), or you can completely delete the event.  Deleting an event is not reversible.

  1. To unpublish an event: From the Manage Events page, click edit for the event you want to unpublish. In the Publishing options horizontal tab, uncheck the Published status.
  2. To delete an event: From the Manage Events page, click delete for the event you want to delete. (Bulk delete is optional.  See Bulk edit an event.)

Stanford event feature fields

FIELD DESCRIPTION
Title The event title.
Date and Time The start and end dates associated with this event.
Location This text field is the location for the event (e.g., Redwood Hall, Room 208).
Admission This formatted text field is for the event admission information (e.g., Free and open to the public).
Image Upload a png, gif, jpg or jpeg file to the site.
Body
This formatted text field is the event description (e.g., This event is etc. etc.).
Image Insert This is an optional field to insert additional images into the body field. Upload a png, gif, jpg or jpeg file to the site.
Map Link This text field is for adding a link to an online map.
Event Sponsor This text field is for the event sponsor (e.g., Stanford Web Services).
Contact Email This text field is for the email address of the contact person for the event (e.g., email-address@stanford.edu).
Contact Phone This text field is for the phone number of the contact person for the event (e.g., 650-725-1234).
More Information An optional external title and URL link associated with this event. (e.g. Stanford University, http://www.stanford.edu).
Event Type Choose the appropriate event type(s).
Audience This field imports from events.stanford.edu and is not displayed in your site by default.
Categories This field imports from events.stanford.edu and is not displayed in your site by default.
Event Feed Type This field is structural and you should not need to edit it. It describes the status of the event on events.stanford.edu (Published, Unlisted, Bookmarked, Canceled)
